日本某大型造纸商RPA案例分享

日本某造纸商成立于1845年,是一家历史悠久的大型上市企业。公司主要从事纸制品的生产、销售等业务,现拥有员工3600多人。

该公司的功能材料部门,有着众多需要人工手动操作的项目。由于不同客户的订货单和发货单格式模板不同,因此员工必须手动将订单数据输入Excel,工作量大且容易出错。受理订单后,由于种种原因,交货时间和交货地点时常会发生变更,与之相关的订单合同也需要再次修改。

为了减轻员工工作负担,确保订单信息的准确率,2017年11月,公司着手在功能材料部门部署RPA机器人。

与此同时,为了防止内容遗漏和业务理解偏差,在结合业务流程的基础上,公司将员工的实际操作流程录制成视频,并以此作为参照制作RPA执行脚本。

实施RPA前

1.通过邮件接收客户订单,员工手动将订单数据输入Excel中,并制作成客户联络函。

2.根据不同的客户,采用不同的订单合同模板,员工输入完成后再转化为PDF格式,并通过邮件发送给客户。

实施RPA后

1.收到订单邮件后,RPA可通过OCR(光学字符识别)自动读取订单信息,并制作成客户联络

2.RPA可通过程序识别客户代码,自动选取相对应的订单合同模板,将信息自动输入后再转化成PDF,并用邮件发送给客户。

实施效果

该公司的功能材料部门,通过部署RPA,实现了订单管理业务的标准化和自动化,提高了业务效率,减少了60%的作业时间,还大大降低了人力成本。

随着功能材料部门RPA项目的成功实施,全公司各部门也相继开展部署RPA的准备工作。为此,公司内部还成立了RPA卓越中心(COE),为顺利推进RPA项目提供支持。

目前,该公司已将30多个业务流程纳入了RPA实施计划。


  

Manufacturing Case of RPA:A Large Paper Manufacturer in Japan

A Japanese paper manufacturer, founded in 1845 is a large listed company with a long history. The company is mainly engaged in the production and sales of paper products, and now has more than 3600 employees.

The company's functional materials department has many projects that require manual operation. Before deploying RPA

1. After receiving customer orders by email, the employees should enter the order data into Excel and make a customer contact letter.

2. The employees adopt different order contract templates according to different customers. After the manual input is completed, they would be converted into PDF format and sent to the customers by email.

After deploying RPA

1. After receiving the order email, RPA can automatically read the order information through OCR (Optical Character Recognition) and make a customer contact letter.

2. After identified the customer code through the program, RPA can automatically select the corresponding order contract template, then, entering the information and then convert it to PDF, and finally send it to the customer by mail.

Effect

By deploying RPA, the functional materials department of the company has standardized and automated the order management business, so the efficiency has been improved; operating time has been reduced by 60% and labor costs have also been greatly reduced.

With the successful deployment of the RPA project in the functional materials department, all departments of the company have begun preparations for the deployment of RPA. To provide support for the smooth progress of the RPA project, the company established an RPA Center of Excellence (COE). And until now, the company has incorporated more than 30 business processes into the RPA deployment plan.
