为什么客人不回复了?因为你的跟进是无效的!

Part one

实例解析跟进邮件中的误区


这一期我们通过一个实例给大家讲解下,在跟进客户时,邮件正文内容的表述技巧。


一位读者朋友秋子来信咨询:“看过很多人写的邮件,还是最喜欢你的,简短、有力、专业。我的邮件很长,表达意思又不清楚,想找个老外在我发给客户之前修改邮件,除了告诉他make it short and commercial,还应该提什么要求呢?”


那段时间正忙,没有及时回复。而后她陆续发来两封邮件,一封是她自己写给客户的,另一封是老外帮她改过以后的。她让我帮看老外的修改邮件,问我值不值得付费请老外更改邮件。


邮件背景简介


秋子的客户听闻钢材价格下跌,主动发来邮件打探中国的行情。想了解下市场价格的波动,进一步考虑采购时机。


秋子最初的回复:


Hi Jackson,


I've told them deliver at your warehouse opening time. I hope they will do that, it would be great if you could tell me after received the cargos.:-)


Material supplier update price for us at every 1st 11th and 21th. Steel price has gone down USDS30 per ton at this 11th.


Prices of steel soared since the later half of 2016. Comparing to now, it has gone up approx. USDS190 per ton. The most crazy rising period at 2017. The highest rising price at USDS320 per ton.


According to our record, steel price trend seems to be gentle since January 2018. In recent three month. Steel price went up or went down at a small range which says USDS15-30 per ton.


We expect that it's hard to restore price before first half of 2016. Because Chinese government increasingly emphasize in environment protection.


The above are just our opinion for your information. Hope that would help you know more about steel price in our market.

老外付费修改的回复:


I've told them to deliver the cargo to your warehouse during your opening hours. Let me Know if there are any problems. It would be great if you could tell me when the deliver has arrived.


The material supplier updates the price for us every 1st 11th and 21th. The price of steel dropped USDS30 per ton on the 11th of April.


Since the latter half of 2016. price of steel has soared, the highest price being approx. USDS320 per ton in 2017. According to our record, the price of steel has been stable since January this year. In the last three months, steel price fluctuated by only USDS15-30 per ton.


We probably won't able to match the 2016 price because the Chinese government is increasingly emphasizing environmental protection.


The above is just our understanding of the situation. I hope that it can help you understand more about steel prices in our market.

我看后,回复她:不值得,前后邮件差别不大。秋子的英语表达是中国式英语,但老外的更改也只是纠正了一些基础的语法错误。商务英语除了简洁专业,更重要的是意思明确,表达清楚。而在她和老外的邮件里我是看不到这样的效果。


这里我先从秋子的邮件开始逐段修改,边改边讲讲当中的误区:


段落一


Hi Jackson,


I've told them deliver at your warehouse opening time I hope they will do that. It would be great if you could tell me after received the cargos :-)


索菲点评:


这一段秋子想表达的是货物到客户仓库后,希望客户跟她确认收货信息。


那么进一步的意图呢?不可能闲来无事写个邮件和客户拉家常吧。在这里开启话题,主要为了看看客户收到货物的反馈以及客户是否有进一步的需求。但是这一段的表述,除了累赘之外,也难以体现原有的意图。


索菲修改:


Hi Jackson,


Good day. 

Please inform when you receive the goods. I would appreciate if you can offer any further comments. 


打个简短的招呼。)请告知你是否已经收到货,如能进一步反馈,不胜感激。


继续回到第二到第四个段落:


Material supplier update price for us at every 1st,11th and 2lth. Steel price has gone down USD30 per ton at this 11th.

 

Prices of steel soared since the later half of 2016. Comparing to now, it has gone up approx. USD190 per ton. The most crazy rising period at 2017. The highest rising price by USD320 per ton.

索菲点评:


这三段秋子想表达的内容是供应商每十天更新一次材料价格;再者,因为这两年国内的材料价格飞涨,她想列出一些数据让客户心里有数。然而不专业的表达,零乱的数据,多半让客户看花眼。

 

索菲修改:


这三段可以用以下两种方式来表述。


1、文字分点概述


Usually in the early/ middle / late of every month, material cost will be updated by our sub-suppliers. 


每月月初/中旬/下旬,我们的子供应商会更新材料价格。不需要具体说几号,如果迟一天早一天呢?说个大概时间段就可以。

 

Following details for steel material cost fluctuation are for your kind information: 


1) Steel raw material cost has soared since the next half of 2016. 


从2016年钢铁价格就急剧上涨。


2) And it goes up more crazily in 2017. The peak increase is rised by USD 320/Ton. 


2017年最高峰期涨价了320美金/吨。


3) According to the material trend diagram, since 2018 it stays stable so far.


根据材料走势图看,2018年价格目前来说相对稳定。一定要强调是目前来说。之后的行情谁都很难说。


4) In the recent 3 months, it fluctuated by USD15-30/Ton. 


近三个月基本在15-30美金/吨波动。


5) Like 11th April, steel price has decreased by USD 30/ Ton. 


像本月11号价格下跌30美金/吨。


6) However, current price is very far apart comparing the rates in 2016. The price difference is about USD190/Ton. 


但是即便如此,价格和2016年的相比仍然相距甚远,差别了近190美金/吨。这点在老外的邮件里他略去了。

 

如果仔细对照,能看出我的表达和秋子之前的表达顺序有所不同,这里跟进的意图进一步凸显:以渐进的方式让客户明白,即便价格现在波动不大,但是要与2016年的价格相比,大相庭径。


在表达方式上,将观点以数字逐条列述会更清楚,这是商务英语表达中必备的一个技巧。


2、用Excel作图,结合图表类型来表述


第一步:用表格列出16/17/18年的钢铁价格

 

第二步: 鼠标选择这两个区域


第三步:再点击插入,选择图表数据,如柱形图。


第四步:完成图表


完善好图表信息后,发给客户时可以说: Attached chart shows fluctuation in the price of steel. 更加一目了然。


继续看第五到第七个段落:


We expect that it's hard to restore price before first half of 2016. Because Chinese government increasingly emphasize in environment protection.

索菲点评:


秋子说,受中国环保政策的影响,当下的价格很难与2016年上半年保持一致,她会及时将市场行情更新给客户。但她的跟单意图仍旧不是很明显,给客户展示这些数据,客户需要做什么呢?只是接收她的信息动态而已吗?还是有更深的意图——提醒客户价格下跌时可以早点囤货?


除了考虑价格,客户下单当然还有很多其他因素需要考虑。先不管客户下不下单,商务邮件里最重要的一步就是call-to-action,即让客户明确,他收到邮件后,需要付诸哪些行动。 

 

索菲修改:


So, we cannot honor the original price. But our quote is in line with the prevailing market. Competitive prices can be ensured. 


因此我们无法维持原价,但是我们的价格都是符合市场行情的,相当有优势。


China has still implemented the environmental inspection. It will definitely affect the whole supply chain. 


另外中国仍然在推行环保监察行动,这势必会影响到整个供应链。


Please let me know your approx. purchasing quantity this year. And I will update you the detailed offer for your review. 


烦请告知今年大概的采购数量,我会更新更详细的报价供你参考。


索菲点评:


当客户在观摩市场行情时,与其被动说我等你进一步消息,或者希望这些信息能让你更好地了解钢材价格的波动,不如以中国环保潮仍在继续为由,告诉客户,目前价格虽然下调,但是接下来的变数都不好说;再提出需要他付诸行动的请求:请告知采购数量,我好进一步做报价给你。


另外,在商务英文邮件里,虽然cannot是can't的原形,但cannot更适合用于正式场合,相比之下,can't比较口语化。因此,应用cannot, 而非can't。


Part Two

日常跟进客户的技巧


说完这个案例,我们再进一步来谈谈平日跟进客户的技巧。在外贸工作中,当发完开发信/报完价/客户问完问题/展会后/客户来访后,这些情况都需要我们进一步去跟进。


可是,很多人的思维,都被网上一板一眼的跟进攻略框住了。


外贸不是做数学题,遵循公式使用套路就能解题。我们是在和大活人打交道,要有思辨能力,并且要以客户立场出发,去思考他的用意和目的。购买行为受很多因素制约和影响。很多人总觉得客户要求出PI,一定会下单;客户收到样板,马上就可以确认;客户收到货,不久就会有返单。


很多外贸人只是在机械地做外贸。他们的视野难免狭隘,只关心自己这个月有没有开单,这个单子给自己带来多少提成,一点也不在意客户那边的状况。


客户到底货销路如何,市场反馈怎样,新上线的产品是否热卖,竞争者的价格战有没有打击到他们?这些都是在客户收货后可以了解沟通的信息,别让客户觉得你只是盯着他的单子,只想赚钱,你应该想办法帮着他做生意,帮他赚钱。


短时间的跟进,可以用friendly reminder. Any update? Any feedback?当客户长时间不回复,如果你还是问客户这些或者机械地盯着客户:单子确认了吗?款安排了吗?什么时候可以发资料过来?那么,客户直接断片也不是意外。


跟进邮件的前提是,展示出你能比别人付出更多的努力。而这些努力具体体现在前期的沟通是否因为订量、价格、质量出现阻隔,体现在你是否可以给客户提供专业的参考意见,能否打消客户对质量的顾虑,你可不可以在客户觉得价格贵的时候提出相关的替代方案。


客户回复也是要看心情看运气,不可能回复率100%。就像你在一家店挑选鞋子,看着看着,没拿定主意,想再换一家去看看。销售员问你,你好,鞋子喜欢吗?你说,嗯我再看看,等下再过来。也许你会回去那家店,也许你不会了。原因很简单,可能你找到了更好的款式,也可能是你打消买鞋的主意了。


尝试把“客户为什么不回复”,转换成“客户凭什么要回复”的角度去思考,或许你可以找出客户跟进过程中存在的问题。

 


Part Three

跟进招式里call-to-action的含义


这里再着重分享call-to-action的跟进方式:又简称CTA,意为行动召唤。在网页设计和APP界面设计里,CTA按钮举足轻重,直接关系到转化率。


举几个例子:

绿色框里的“PLAY FREE”和底下的“Take a free trial”,召唤用户赶紧尝试。以鲜艳的颜色,凸出来吸引注意力。


此外还有:“加入购物车吧!”“开始你30天的试用期吧!”“现在就购买吧!”等等的行动召唤。


Part Four

怎样才算是有效跟进?(附参考表达)


那么,如果要将CTA的营销理念运用到商务邮件里,怎么做才能发挥出效果呢?


来看看下面两个例子:


1) If you need any further information, please do not hesitate to ask me.


2) Can we get on call this Tuesday 3PM to discuss further on your preferred proposal?


第一句是不是特别熟悉?在大多数邮件里实属常见:如果你需要更多信息,请尽管问我。如果客户没进一步问你,你是不是要继续等待或换种方式跟进了?


而第二句,直接和客户发出行动召唤:能否在这周二下午三点跟你进一步电话讨论更倾向哪个方案呢?只有方式明确,时间明确,讨论事宜明确,客户才知道如何回应你。


如果是新建立联系的客户,则采用之前分享过的句型,先询问客户他/她合适的时间:


1) I'll call you early next week, unless another time frame is better for you.


2) Can I please phone you tomorrow afternoon, or if another day is better. I'll follow up as you suggest.


3) Can I please phone you on Tuesday, unless you prefer another time.


此外,行动召唤的表达还可以体现在以下情境:


1) 与其说:Should you have any questions, please feel free to contact me. 

有什么问题,请联系我。


不如说:I'll give you a call next Monday to make sure all is clear to you. 

我会在下周一给你电话,确保你清楚一切细节。


2)与其说:Please let me know your thoughts. 

请告知你的想法。


不如说:As soon as you advise your chosen model, I’ll send you the updated offer. 

你这边一选好款式,我会给你更新报价。


3) 与其说:Are you available for a chat? 

你有空聊下吗?


不如说:Please advise if you are available for a discussion on this Friday at 3PM? 

请告知这周五下午3点,你是否有空讨论下。


4) 与其说:Which items you like? I look forward to your reply. 

你喜欢哪个款式呢?期待你的答复。


不如说:Special discount is only by next Wednesday! Do not miss out this opportunity. 

折扣截止到下周三,机不可失。


5)与其说:Wish you have a nice weekend. 

祝你周末愉快。


不如说:Share you with a presentation that shows how we help our Europe client install the lines successfully.

在跟进邮件时,尤其是在最初的阶段,邮件内容一定要包含具体、易懂的行动步骤,引导客户及早做出回应。
